Initiating or Updating GroupWise "Public" Distribution Lists on the College's Network

Preface:

This document describes policies established by Administration and the Information Systems (IS) Office of the College of Medicine and Public Health for initiating and updating public distribution lists in its GroupWise e-mail system.

Process:
Initiating New Lists

Requests for new distribution lists will be submitted to Joann Wise in the COM & PH IS Office. The following information will be provided:

  • Formal name of list
  • Name of list to appear in address book (please limit to 25 characters)
  • Names to be included (and e-mail addresses)
  • Length of time list is to be maintained (beginning and end date)
  • Name of list owner, his/her e-mail address plus phone number
New lists will be created within five working days of the original request.

Updating Lists

All changes must be submitted either in writing or electronically to Joann Wise in the COM & PH IS Office. Requested changes will be made within 24 hours of the request.

Persons Responsible for Updating Lists

One individual will be identified by the initiator of the original list to be responsible for updating each distribution list. It is that individual's responsibility to notify COM & PH IS Office of all changes in a timely manner, to assure that lists are useful at all times.

 Requests for Updated Information

The COM & PH IS Office will maintain an e-mail list of persons responsible for maintaining all distribution lists. A group e-mail will be sent out twice each year asking for updates, or asking that the accuracy of the list as it now stands be verified. The dates of these requests will be:

  • January 1
  • July 1
If no response is received to this request within two weeks, the list will be deleted. The members of the group will be informed via e-mail before the list is deleted.

Automatic Deletion of Lists

Lists will be deleted when they reach their expiration date (as noted in the original request). The members of the group will be informed via e-mail before the list is deleted.
